Vehicle Damage Management Policy and Methods
By signing the contract, the Customer authorizes Trayectis to block the Security Deposit amount required to access the rental service on the credit card presented. The Customer also authorizes charges for any damage found on the vehicle upon return and the costs of handling related administrative procedures (if not already covered by insurance), if these exceed the value of the security deposit, taking into account the final value if a damage liability reduction package (excess) has been purchased.
Handling damage-related procedures entails an administrative fee equivalent to €80.00 (VAT included).
All easily detectable damage is managed using our Damage Tables, developed and regularly updated by experts registered with the national registry, providing average repair costs for the most common minor damages. The amounts in the tables do not include the administrative fee mentioned above. We therefore always recommend purchasing our liability limitation/exclusion (excess).
Vehicle Inspection
At check-in (taking over the vehicle), all existing damage will be listed on the corresponding Handover Report. Customers are encouraged to check it carefully and report any discrepancies before leaving the parking lot.
At check-out (return), the vehicle will be inspected again by our staff (or by the Customer in the case of an automated return), adding any new damage not caused by normal wear and tear. Normal wear and tear refers to reasonable use of the vehicle (small scratches, micro-dents, normal wear on tires and wiper blades).
Hidden Damage
Some damage may not be immediately apparent at check-out (e.g. damage to inaccessible components such as the engine, tank or clutch, or damage hidden due to poor lighting or unfavorable weather conditions). In such cases, Trayectis will inform the Customer upon detection, providing all supporting documentation before charging any related costs.
Technical Stop
If the vehicle undergoes repairs, Trayectis reserves the right to send the Customer a periodic repair invoice including "technical downtime days" — the days the vehicle is out of service for repairs and the acquisition of spare parts.
Damage Detection
and Collection
Scenario 1: Simple Damage, Agreed at Check-Out
For simple damage agreed and accepted by the Customer at check-out, the amount indicated in the Damage Table is charged.
Scenario 2: Simple Damage, Customer Not Present
If the Customer cannot be present at check-out and the damage detected is simple, our staff will assess the amount using the Damage Table.
Scenario 3: Major Damage
If the damage is significant and/or not listed in the Damage Table, an appraisal is requested from a nationally registered expert or a specialized workshop.
Any hidden or mechanical damage discovered after taking possession of the vehicle will be reported immediately upon discovery, even beyond the standard 3 business days. Refund requests can be sent to our Customer Service.
Financial Liability for Damage or Theft
All our vehicles have RCA (Car Third Party Liability) coverage in accordance with the law, which guarantees third-party liability coverage, as well as CDW (Collision Damage Waiver) and TP (Theft Protection) coverage that partially limit the Customer's liability for damage caused to the vehicle during the rental period, as long as an additional optional service that limits or extinguishes said liability has not been purchased (see the different types available in the Vehicles & Services section).
In any case, this insurance does not cover damage caused to the tires, chassis, windows and interior of the vehicle (unless the damage to the interior is a result of an accident). Any charge, as a penalty, will be calculated based on the damage suffered by the vehicle up to a maximum (excess) that varies depending on the category of the rented vehicle, according to the following table:
Insurance Liability
Table
| Group / Category | Vehicle | Excess (Maximum Liability) |
|---|---|---|
| CVAR/CVMR | Ford Tourneo Courier | €2,200 |
| IVAR/IVMR | Peugeot Rifter GT | €2,400 |
| FVAR/FVMR | Ford Tourneo Custom | €2,600 |
Live in Peace
As mentioned above, our vehicles are fully insured, but if you want to be worry-free about not having to bear additional costs due to accidents, you can activate a series of additional coverage packages to eliminate deductibles and minimize the security deposit required for rentals, which varies based on the extra chosen and the vehicle category.
For more details, you can consult the Security Deposit section.
